Team Assistants – Temp and Perm opportunites

As Team Assistant you will fulfil a range of administrative responsibilities and provide a competent and professional presence in the office.

  • The role involves supporting growing and busy teams and an enthusiastic, adaptable approach is vital.

Key Responsibilities:

  • Client facing responsibilities, including liaising with Trustee Board regarding full schedule of annual meetings, collating and formatting meeting papers for quarterly meetings
  • Schedule meetings, both internal and external (including rooms/refreshments and technology requirements as required)
  • Control diaries via use of Calendar on Outlook; organise business travel as requested
  • Timesheets, expenses, client relationship database
  • Act as minute taker at meetings where necessary and maintain relevant action logs
  • Produce and polish typed client documents to a high standard using Microsoft Office packages (Word and PowerPoint)
  • Work with wider team to ensure key operational and governance activities are completed
  • Act as first point of contact for the team in their absence
  • Undertake all adhoc duties associated with the team and its clients
  • Help to build and update actions logs, decisions logs, risks and issues log, project plans where applicable

    Candidate requirements:

  • Excellent IT skills – Outlook, Microsoft Word/PowerPoint/Excel.
  • Good command of English language, spelling and grammar
  • Good oral and written communication skills
  • Be able to work with colleagues across all levels, locations and lines of business
  • Good organisational skills and be methodical, thorough and pay close attention to detail
  • Able to prioritise workload, multi-task and work to deadlines using own initiative
  • Be prepared to take an active part in problem solving
  • Able to work under pressure as part of a team and independently
  • Have a ‘can do’ approach to work
